How to choose a hotel PMS in Bangladesh
A PMS (property management system) is the software a hotel runs on: bookings, check-in, guest bills, housekeeping and the daily money report. Most systems look good in a demo. The differences show up in month three, when the invoice format is wrong, the OTA sync double-sells a room, or support answers in a different time zone. This checklist is written for hotels in Bangladesh.
Start with how your hotel actually runs
Before you look at any software, write down a normal week at your hotel. It keeps every vendor demo honest.
- How many rooms, in which categories, and how many staff use the system at once
- Where bookings come from: walk-ins, phone, Facebook, Booking.com, Agoda, Expedia, company contracts
- How guests pay: cash, bKash, Nagad, Rocket, card, bank transfer, or on a company account
- Whether you run a restaurant, room service, banquets or events
- Who closes the day, and what the owner wants to see the next morning
The must-haves for a hotel in Bangladesh
- Local payments, kept apart. bKash, Nagad, Rocket, cash and card recorded as separate methods, so the cash drawer can be matched at the end of a shift. A guest should be able to pay part in cash and part by bKash.
- VAT invoices with your BIN. Your legal name, address and BIN on every invoice, numbered in sequence with no gaps. Ask for a sample and show it to your accountant.
- OTA sync that prevents double bookings. When a room sells on one site, availability should drop everywhere else by itself. Bookings from Booking.com, Agoda and Expedia should land on the same room board as walk-ins.
- Prices in taka. If the OTA sells in dollars, the system should convert at a rate you control, so your reports stay in taka.
- Restaurant charges on the room bill. Dinner or room service should go straight onto the guest's bill, not onto a paper slip.
- A night audit that locks the day. Once a day is closed, nobody should be able to quietly change its money records.
- Roles. A housekeeper sees rooms, the front desk sees bookings and payments, the owner sees everything.
- Works on a phone. Housekeepers and managers are rarely at a desk.
- Support in Bangla, during your hours. Your night audit problem happens at midnight Dhaka time, not during office hours in another country.
Eight questions to ask every vendor
- What is the total monthly cost, and what is not included? Setup, training, OTA sync, booking page, restaurant billing, SMS and VAT.
- Do you take a commission on bookings? A percentage grows as your hotel does.
- Do you charge per user? Then hiring a new receptionist raises the bill.
- Can a payment or charge be edited or deleted? In a good system, corrections are new entries and the history stays visible.
- How often is my data backed up, and have you tested a restore? A backup nobody has restored is only a hope.
- What happens when the hotel's internet goes down? A cloud system should keep working on a phone's mobile data.
- Who does the setup and trains my staff, and in which language?
- If I leave, can I export all my data? The data belongs to the hotel; get that in writing.
Run a real day during the free trial
Do not judge a PMS from a demo someone else drives. Load your own rooms and rates, then walk through one full day yourself:
- Take a walk-in booking and check the guest in.
- Add a booking as if it came from an OTA, and confirm the room is no longer available anywhere.
- Take a split payment: part cash, part bKash.
- Charge a restaurant dinner to the room.
- Move a guest to another room mid-stay.
- Check out, print the VAT invoice, and show it to your accountant.
- Close the day and read the next morning's report. Does the cash match the drawer?
- Export your data, to see that you can.
Red flags
- The price is "from" a number and nobody will give you a full quote in writing
- The invoice has no place for your BIN, or numbers can be typed by hand
- Payments can be deleted without a trace
- Support is email-only, or only in English
- No hotel in Bangladesh you can call as a reference
How Muzn HMS answers this checklist
Muzn HMS is built in Bangladesh for hotels here. Prices are in taka by hotel size, with no commission and no charge per staff member. Cash, bKash, Nagad, Rocket, card, bank transfer and company accounts are separate payment methods. Tax invoices carry your legal name and BIN, are numbered in sequence, and never change once issued. Charges and payments are permanent, the night audit closes and locks the day, and data is copied off-site every few minutes. We set the system up and train your team, with support in Bangla seven days a week, and there is a 14-day free trial with your own rooms. It is running today at a hotel in Sylhet.
