How much does hotel management software cost in Bangladesh?

Two quotes for hotel software can look ৳3,000 a month apart and end up costing the same, or the cheaper one can cost more by the end of the year. The difference is almost never in the headline price. It is in how the price is counted, and in everything the headline leaves out. This guide explains both, so you can compare quotes line by line.

The five ways hotel software is priced

• A monthly price per hotel. One fee for the whole property, usually in tiers by room count. Easy to budget; check what the tier includes.
• A price per room. The bill moves with your size. Fair for small hotels, but check whether rooms under repair still count.
• A price per user. Every staff login costs extra. Hiring a receptionist or giving the night manager a login raises the bill.
• A commission per booking. A percentage of each booking or of room revenue. It looks cheap in a slow month and grows as your hotel does well.
• A one-time licence. A large payment up front, usually followed by a yearly maintenance or support fee. Ask what updates cost after the first year.

What the headline price usually leaves out

• Setup and data entry: loading your rooms, rates, taxes and staff accounts.
• Staff training: on site or online, and whether it is repeated when staff change.
• OTA sync (channel manager): keeping Booking.com, Agoda and Expedia in step with your rooms. Often a separate monthly fee.
• Your own booking page: taking bookings on your website without paying commission.
• Restaurant billing: often priced per outlet.
• SMS: booking confirmations and receipts are usually paid per message bundle.
• VAT: check whether the quote includes VAT or adds it on the invoice.
• Your own equipment: a computer or tablet at reception, a receipt printer, and a backup internet connection.

Costs owners often forget

• Dollar pricing. A price in US dollars moves with the exchange rate, and paying abroad by card can add bank charges.
• The price after year one. An introductory price that doubles in month thirteen changes the whole comparison.
• Leaving. Ask whether you can export all your data, and whether there is a fee for it.
• Downtime. A day without bookings or bills costs more than most monthly fees. Ask about uptime, backups and support hours.

Put every quote into the same table and add up the first year. Leave nothing out.
